• Account details, including your name, email address, role and company.
• Client contact and project information, including site details, deadlines, photographs, specifications and uploaded documents.
• Applicator information, including company details, insurance, accreditations, approvals, case studies and vetting evidence.
• Tender information, including bid prices, lead times, method statements, supporting documents and award records.
• Subscription and transaction references. Payment-card details are processed by Stripe and are not stored by us.
• Technical and usage information needed to operate, secure and troubleshoot the platform.

We use personal information to create and administer accounts; receive and manage projects; assess applicators; operate tender, quotation and award workflows; provide estimates; send service notifications; process subscriptions; prevent misuse; maintain records; and respond to enquiries.

Depending on the activity, we rely on performance of a contract, steps requested before entering a contract, our legitimate interests in running and securing the platform, compliance with legal obligations, or consent where the law requires it.

We share information only where needed to provide the service. This may include the client or applicator involved in a tender, authorised platform administrators, and suppliers providing hosting, authentication, storage, email, payment and document-processing services. Unreleased bids and client contact details are not made available to unrelated users through the normal platform workflow.

We may also disclose information when required by law, to protect legal rights, or in connection with a business sale or restructuring. We do not sell personal information.

Document-reading and drafting tools may process information you choose to upload. Automated outputs and indicative estimates support the procurement process but are subject to human review and should not be treated as final technical, contractual or professional advice.

We keep information only as long as reasonably needed for the platform, the tender or contractual relationship, dispute handling, security and applicable legal or accounting requirements. Different records therefore have different retention periods. You may ask us about the period applying to your information.

Some suppliers may process information outside the UK. Where this happens, we use suppliers and safeguards intended to provide an appropriate level of protection under UK data-protection law.

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, portability, or object to certain processing. We use access controls and other reasonable measures to protect information, but no online service can guarantee absolute security.
